Administrative Associate
We are looking for a detailed-oriented, “get ‘er done” type person to help us stay organized and moving forward on a variety of projects. In this role, you will be responsible for supporting Journey team members by managing day-to-day administrative activities, ensuring smooth office operations, and providing excellent client service. In addition to on-going daily tasks, you will spearhead a variety of special and/or seasonal projects throughout the year that are vital to firm growth and allow you to see all aspects of the business.
Your responsibilities would include:
- Office Management: Maintain office supplies, manage inventory, and ensure the offices are clean and organized.
- Client Communication: Answer phone calls, respond to emails, and greet clients in a professional and friendly manner. Establish, gather content for, and implement on-going client communications via MailChimp and other means.
- Scheduling: Coordinate appointments, meetings, and manage calendars for the team.
- Document Management: Prepare, file, and manage client documents, including tax forms, financial statements, and correspondence.
- Data Entry and Account Reconciliation: Input and update client information in our database with a high degree of accuracy. Assist with accounting client bank and expense reconciliations.
- Billing and Invoicing: Assist with preparing and sending invoices, tracking payments, and managing accounts receivable.
- Support Services: Provide administrative support to accountants and tax professionals, including preparing reports and presentations.
- Compliance: Ensure all client information is handled confidentially and in compliance with firm policies and regulations.
- Special Projects: Assist with various seasonal projects, including but not limited to coordinating firm and client conferences, overseeing the 1099 process, requesting e-signatures from clients and submitting final returns via tax software, assisting in establishing and maintaining a firm-wide CRM, etc.
You should possess the following qualifications and/or experience:
- High school diploma or equivalent; associate’s or bachelor’s degree in business administration or related field preferred.
- Proven experience as an administrative assistant or in a similar role.
You should demonstrate the following competencies, skills, and attitudes:
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
- Eager to learn/desire to be coached (and to coach!)
- Comfortable with using/learning how to use various technology tools.
- Ability to take a new project and see it through to completion.
- Familiarity with accounting and tax terminology is a plus.
Other important requirements and details:
- Must be willing to work out of our Grand Rapids, MI or Woodridge, IL office
- Must be willing to work 24-40 hours per week (schedule to be determined based on candidate availability/needs; benefits available at 30+ hrs/week)
- Limited time off during tax season (January 15 – April 15)
- This position is not eligible for visa sponsorship
